Test Proctoring Procedures
Student Disability Services at the Ï㽶ÊÓƵAPP provides test proctoring services as a courtesy to faculty for students who have approved testing accommodations that may not be feasible to provide in the regular classroom.
You may provide approved testing accommodations within your class or department if all approved accommodations can be fully provided. When SDS proctoring is needed, follow the procedures below.
When SDS Test Proctoring is Used
SDS test proctoring may be used when a student has approved testing accommodations that are not feasible to provide in the regular classroom or department setting. Examples include:
- Extended testing time.
- Reduced-distraction or private testing location.
- SDS-proctored testing instead of virtual proctoring.
- A test reader.
- A test scribe.
For a full list of testing accommodations SDS may provide, review the Examples of Disability Accommodations page.
Student Scheduling Responsibilities
Students who want to use testing accommodations are responsible for contacting Student Disability Services at least one week before the test to schedule testing arrangements.
Students are also responsible for notifying you at least three days before the test that they plan to use their testing accommodations.
Give students enough advance notice of test dates so they can meet these scheduling requirements.
Your Responsibilities when a Student Tests with SDS
When a student notifies you that they plan to take a test with Student Disability Services, you are responsible for completing the current ADA Test Intake form.
The ADA Test Intake form is sent with the student's accommodation letter and is available on the Faculty Resources page. Complete the form fully, including:
- your contact information.
- the amount of time the regular class has for the test.
- any passwords needed to access the test.
- instructions for how the completed test should be returned to you.
Submission Deadline
Submit the completed ADA Test Intake form and all test materials to Student Disability Services by 2 p.m. the business day before the scheduled test time.
If a test is scheduled for Monday, submit all materials by 2 p.m. Friday.
How to Submit Test Materials
You may submit the completed ADA Test Intake form and paper test to Student Disability Services in Flanders, Room 115.
You may also send test materials directly to the SDS network printer, FL11491. Directions for installing the printer are sent with the student's accommodation letter and are available on the Faculty Resources page.
When submitting test materials to SDS:
- Tests will not be accepted by email.
- The completed ADA Test Intake form must be included with the test.
- Materials must be received by 2 p.m. the business day before the scheduled test time.
- For online tests proctored by SDS, send the ADA Test Intake form directly to the FL11491 printer. ADA Test Intake forms will not be accepted by email for online tests.
Online Classes and Online Tests
For online classes and tests, you are responsible for:
- entering approved extended time accommodations into the testing platform.
- completing the ADA Test Intake form when the student will test with SDS.
- submitting the ADA Test Intake form and test materials to SDS by 2 p.m. the business day before the scheduled test time.
- adding all approved testing accommodations to the student's profile in the virtual testing platform when applicable.
If you use a virtual testing platform, add all approved testing accommodations to the student's profile before the test. This may include accommodations such as a service animal, hand fidget device, earplugs, noise-canceling headphones, or other approved testing supports listed on the student's Approved Accommodations Summary.
If approved accommodations are not added to the student's profile, the student may be prevented from using them or may be flagged during testing.
Students are responsible for providing their own quiet or private testing area for online tests unless they have an approved accommodation that requires SDS testing support.
Students with approved test reader, test scribe, or SDS-proctored testing accommodations must contact Student Disability Services to schedule a time to test in the SDS office.
Returning Completed Tests
Student Disability Services will return the completed test according to the option you marked on the ADA Test Intake form. Completed tests may be:
- picked up in the SDS office.
- scanned and emailed.
- placed in campus mail.
For a full list of testing accommodations SDS may provide, review the Examples of Disability Accommodations page.
